Planning a Corporate Event for your clients is very different to hosting a personal party. In the first instance it’s not your money that will be used to fund the event so managing your budget is of the upmost importance. Also, you’re unlikely to know all the guests on a personal level so creating an environment that everybody will feel comfortable in and enjoy will be a challenge in itself. - Budget – Establish your budget at the beginning of the process then make a list of the key elements that will bring your event together. Main things to think about are venue, travel arrangements, food & drink, entertainment and gifts.
- Location of venue – It’s likely that your delegates will be travelling from all over the country so its important to choose a venue that’s easily accessible from all transport links be it, train stations, airports and motorways. Ample free parking is also a must; clients that have been invited to an event don’t expect to have to pay for parking.
- Size of venue – Again think of your numbers and, taking the above into consideration, choose a venue that will accommodate your guests comfortably. There’s nothing worse that being crammed like sardines into a stuffy room that’s not big enough to swing a cat. Similarly too much space isn’t always a good thing either as it can make your event look like its poorly attended even though you’ve got over 100 people in the room.
- The right entertainment – Some level of entertainment is important to keep the guests occupied but it should be in keeping with the event in question. For example, if it’s a conference you are hosting music isn’t necessary but some ice-breaker activities would be good to get the delegates mingling as many of them may have come alone and won’t know anyone else in the room. If however the event in planning is a party then you might like to consider bringing in a magician or casino tables to liven up the atmosphere before the dancing starts.
